Meeting called to order 6:35 PM at Norwich.

Financial Update

  • 786 Members
  • Need to update the estimated 6 month operated expenses.

Committee Updates

  • Finance committee:
    • Changed the expense reimbursement form, to help if we ever were to be audited.
    • New process and form will be implemented on October 1st, the day after the area champion’s meeting.
  • Facilities Committee:
    • Will be adding a power door opener to the Norwich garage door.
  • Bylaws Committee:
    • On vacation
  • Rules & Policy:
    • Need to transfer condensed information to wiki.
  • Membership Committee:
    • Anna endorses Sindie as replacement committee chair.
Unfinished Business Items
  • (Tim) Paying for snow removal at Lenox.
    • Tabled until next month.
  • (Tim) Tiffany M. proposal to start motorcycle repair area.
    • Tabled until next month. Group is not ready to present.
  • (Chris) Discuss the policy/process of reinstating previously suspended members.
    • We changed the form to have individuals disclose if they have been a previously suspended member.
    • No action required. Item to be removed from future agendas.
New Business Items
  • (Dan) Consider Creation of Sublimation Printing Area. Proposal by Daniel Dyer.
    • Champions would be: Terry Tang (Primary), Daniel Dyer
    • Asks for the BOD:
      • $300 in startup funds
      • Small space at Lenox ~50 sqft
    • There was discussion about different solutions for space at lenox for the area.
      • Consensus was that the area should work with facilities and other areas to find space.
    • People also brought up the idea of asking the craft lab to seed the money.
      • Moving forward by pursuing this avenue.
    • VOTE: Motion to create the Sublimation Printing Area with the understanding that they will work with facilities and other areas to find a space at Lenox.
      • Passed Unanimous (7-0)
    • VOTE: Motion to make Terry Tang the primary Sublimation Printing Area Champion and Daniel Dyer a secondary.
      • Passed Unanimous (7-0)
  • (Dan) Discuss organizational rules regarding automotive work.
    • Dan’s Proposed Language:
      • “No motor vehicle fluids work at the Lenox facility and parking lot. At Norwich, no motor vehicle fluids work in MMS rented facilities. No motor vehicle to be worked on in the fire lane at Norwich, and no working on cars for others for compensation. Variances to the fluids portion of this rule may be granted by BOD when all legal, insurance, environmental, and physical storage concerns have been addressed by those requesting the variance to the satisfaction of the board.”
    • Dan followed up with a document outlying the history of automotive work here at Lenox.
    • Motion to reaffirm/modify rules regarding automotive work:
    • Previous Language:
    • New Language:
      • NRB: Motion to establish a new set of rules surrounding automotive work superseding all previous rules. Rules listed below:
        • Gas vehicles may not be stored in the space unless they have been drained of fuel.
        • No member may block fire lanes, vestibules, or walkways.
        • No working on motor vehicles on Lenox property.
        • No work on motor vehicles inside at Norwich in public spaces.
        • Fluid work on vehicles is strictly prohibited (such as an oil change)
        • Variances to automotive rules can be granted by the BOD when all legal, insurance, environmental, and physical storage concerns have been addressed by those requesting a variance.
  • (Rick) Propose the addition of area funding responsibilities to include the limitation that area funds are not to be used for member dues.
    • VOTE: Motion to explicitly restrict the use of area funding to exclude the payment of member dues.
      • Passed Unanimous (7-0)
  • (Sindie) Re-commissioning of membership committee.
    • Sindie spoke with Anna about him succeeding her. Anna is in favor.
      • The main focus of the membership committee is to focus on the new member sign up process.
      • Sindie is reaching out the the Dallas makerspace and other orgs to see what their onboarding process looks like.
        • How do you onboard lots of people?
    • Sindie will be hosting meetings. (planned 1 per month)
    • No action required.
    • Motion a show of support.
  • (Sindie) Bicycle Repair Area Expansion to Norwich. Proposal by Witch.
    • Witch discussed the growth in the area and interest gained since its inception.
    • Ask is for space allocation at Norwich.
      • Minimum of 16sqft
      • Ideally 32sqft
    • Next step is to identify the space that will be used.
    • Motion to table this until space has been identified.
Member Topics
  • (Rick) Wanted to discuss the bathroom cleaning initial fee.
    • Cleaning will begin in October. FYI.
    • All bathrooms will be cleaned twice a month.
    • No action required.
  • (Dan) Wooden workbench sitting in public space at Norwich.
    • Came out of the woodshop.
    • What do we do with it?
    • Dan withdrew the motion for discussion.
  • (Tim) Electrical reimbursement for work at Norwich.
    • Maker’s Village incurred extra unforeseen costs relating to electrical work done at the request of area champions.
    • Dan J. is unsure how to resolve:
      • Maker’s Village could eat the cost
      • The board could use general funds to cover the overages.
    • Motion to add an item for next months board meeting.
